Each time an inmate is booked into the jail, a folder is started. The folder contains all the specific information that our jail facility uses to keep track of inmates' court appearances, medical documents, photos, and billing. These are sorted once the inmate leaves our custody and those records become archived.

The Prowers County Sheriff's Office handles Sex Offender registrations, concealed weapons permits, Uniformed Crime Reporting, and case filings. Fingerprinting, background checks and criminal histories are also routed through our records section. Each deputy handles calls for service and self-initiated calls. These calls require reports. Each report that is completed is forwarded to Connie. She enters the information into a database for Uniformed Crime Reporting (UCR). These are later compiled into crime statistics with the State of Colorado and the Federal Bureau of Investigations.

After entering the report into UCR staff prepares the report to become discovery, and it is then forwarded to the District Attorney's Office where it becomes discovery in the judicial process. Discovery can be obtained through your attorney or the District Attorney's Office.

Staff also handles citizen and other requests for copies of our criminal records. These requests are made in writing by filling out our request for criminal records. These are authorized by the Undersheriff, and staff makes the necessary copies of the records. We have limited space for the overwhelming amount of paperwork that our office completes. These are archived and, when necessary, the reports have to be gone through to find and locate specific information.
